Replacing Spreadsheets and WhatsApp Groups With Real Software

Most businesses I talk to about digitizing operations aren't starting from nothing. They're starting from a spreadsheet that's become the unofficial system of record, and a WhatsApp group that's become the unofficial support desk. Neither was designed to be that. Both ended up that way because they were available and everyone already knew how to use them.

Why this setup works, until it doesn't

Spreadsheets and group chats are genuinely good tools for small scale and low stakes. The problem isn't that they're bad tools, it's that they don't fail loudly. A formula breaks quietly. A message gets buried under forty others. Nobody notices the system has outgrown its tools until something important slips through, usually at the worst possible time.

What actually needs to change first

The instinct is to replace the spreadsheet with an app that looks similar, same columns, same structure, just prettier. That misses the point. The real value of moving off a spreadsheet isn't the interface, it's turning implicit process into explicit process: who's responsible for what, what happens when something's overdue, what a completed task actually means. A spreadsheet can't enforce any of that. Software can.

Where to actually start

I'd rather digitize one painful workflow completely than five workflows halfway. Pick the process that's causing the most actual pain right now, the one people complain about, and build that properly, with real validation, real notifications, and a clear source of truth. Everything else can follow once that one thing is working and trusted.

The real signal it's time

If the answer to "what's the current status of X" is "let me check the group chat," that's the signal. Not the size of the business, not a headcount threshold, just whether critical information is currently living somewhere that wasn't built to hold it.
